About the company
Founded in 2002, Milton Keynes Lightning are a professional ice hockey club currently playing in the UK’s second-tier National Ice Hockey League (NIHL). Based out of Planet Ice Arena in Milton Keynes, we have enjoyed considerable success over the years and carried on that tradition by winning the 2024 NIHL National Cup, and were crowned the Playoff Champions in 2025.
Job overview
The Business Support Administrator will play a key role in supporting the General Manager, the Directors and the wider team with day to day administrative activities. The job holder will be responsible for a wide range of duties to ensure the efficient and smooth running of the business.
The role will be predominantly home-based, however there will be a requirement to be on-site at Planet Ice Arena, as well as visiting team housing, sponsor premises and other locations as and when needed. Our playing season traditionally runs from September through to April the following year. The job holder will be required to work unsociable hours (including evenings and weekends) depending on league fixtures or other club events. Our home games are usually played on Saturday evenings, although it is highly likely there will be some week-night and Sunday evening games during a season.
Main duties of the job
The key responsibilities of the Business Support Coordinator will be:
- Supporting with social media and marketing activities
- Loading and scheduling social media posts across appropriate channels as agreed with the General Manager
- Being the first point of contact and responding to incoming general enquiries via email and social media
- Writing the weekly game night webpage including artwork (with creative support)
- Creating and sending marketing and information emails
- Creating and sending information emails
- Managing the content production process with our creative partners, including proofreading and corrections before final approval by General Manager
- Supporting with processing ticket sales
- Weekly ticket sales management
- Responding to and processing general ticketing enquiries
- Assisting and coordinating VIP bookings and food ordering, ensuring that our VIP hosts are given the support they need to fulfil the bookings to a high standard
- Assisting and coordinating ‘Bench with the Lightning’ bookings, including arranging photos and autographs with chosen players
- Managing player accommodation
- Ongoing housing inspections of existing properties and reporting any issues to the Directors
- Ensuring all utility bills are paid correctly and on time
- Sourcing new accommodation as and when required
- Liaising with players on any maintenance requirements and resolving them in a timely and cost-efficient manner
- Managing the car fleet
- Liaising with our fleet partner to source suitable vehicles as and when required
- Liaising with the players and the fleet partner to ensure all the cars are serviced and maintained appropriately
- Game night activities
- Front of house duties and supporting the Planet Ice team with any issues
- Supporting the Events team as and when required
- Supporting with the smooth overall running of game nights and assisting with any issues that may arise
- Managing the arrival process for VIP groups, experience groups and liaising with them in advance to agree requirements
- General administration support
- Supporting on ad-hoc administration duties
- Working with our Equipment Manager to ensure the locker room is adequately stocked, sourcing any supplies in a timely and cost-efficient manner
- Supporting the GM with sponsorship management and engagement
- Assisting with the Schools Programme as needed
- Booking away travel and accommodation as required
- Assisting with the organisation and running of summer junior hockey camps
- Supporting the GM with website management, including updating content as and when required
- Continuous improvement activities to identify ways to streamline processes to be more time and cost efficient

Required Criteria
Essential
- Extensive administrative experience, ideally within a sporting, events or hospitality environment
- Email management experience
- Previous experience with social media management and engagement
- Strong communication skills (including English GCSE grade 4 and above)
- Previous customer service experience
- Experience of managing third-party suppliers and partners
- Flexibility to work unsocial hours (including weekends/evenings)
- A knowledge of Ice Hockey
Desirable
- Previous administration experience within UK ice hockey
- Full UK driving license
- Previous experience of UK work visa applications and CoS management
